Overview
The Ehli - AI Subscription feature is now available in LearningSpace!
It gives everyday users a clear way
to see whether AI features are available,
to start or request a 60-day AI Assistant Trial,
to understand the remaining trial time, and
to contact the right administrators or Elevate Healthcare when support or renewal is needed.
The Ehli -AI Subscription marks LearningSpace’s first subscription-based product line, introducing scalable, value-based access to our AI-powered capabilities.

Video Transcription
AI Assistant for Faculty (FON) Checklists (Video Transcription is a pre-requisite)

IMPORTANT: This is a cloud-based service, which incurs operational costs.
What’s New?
‘Ehli AI’ tab has been introduced in System Settings for managing AI Subscription.
“Ehli AI - Enterprise Plan Trial” is visible on this tab, under Subscription.

Once the feature is available in a LearningSpace instance, LS admins receive an in-system notification “Start AI Assistant Trial”, introducing the AI Subscription.

Administrators can manually enable the trial in System Settings after agreeing to the Terms and Conditions and selecting “Start 60-day trial”.
A 60-day trial begins upon opt-in.


Ehli AI Trial - Active
How to start and manage the AI Assistant Trial (Admin users)
Admin or System manager users receive an email when faculty request the AI Trial.
This section guides you through the process of starting the Trial period:
1. Open LearningSpace and go to the Dashboard. The header shows the current AI subscription state.
2. Select “Start AI Assistant Trial “
from the Dashboard header,
the System Manager > Ehli tab,
or the AI information modal.
TIP: Admins can also start the trial from the FON Data Entry checklist, the Transcription tab, or the OEQS Scoring tab.
3. Review the AI feature overview and accept the terms and conditions.
4. Start the 60-day trial. LearningSpace automatically calculates the trial end date and updates the trial status everywhere it is shown.

AI Assistant Trial - Active
LearningSpace admins receive a reminder email 30 days before the subscription expiry.
If the trial expires or the subscription is not renewed, AI features become unavailable:
AI functionality is disabled.
The System displays “Trial Ended.”
IMPORTANT: All previously generated data remains stored in the database, but will be unavailable on the user interface.
Use the “Contact us” button to reach out to Customer Support and extend the subscription. (ls-support@elevatehealth.net)
Once purchased, the following AI functions can be enabled with the respective toggles:

How to request access to the AI Assistant Trial (FON and OEQS Data entry users)
Check the AI status indicator on the Dashboard, SRV Transcript/Data entry panels, or the OEQS scoring panel.
Choose “Request AI Assistant Trial” in the header if AI access is not yet active.

3. Submit the request by clicking “Request 60-day trial”.
After the request is sent, the status changes to “Request pending” until an admin starts the trial or an active license is made available. LearningSpace confirms the request and notifies users with admin or system manager privileges via email.

The “EHLI - AI ASSISTANT TRIAL” box will be available in the Single room view (SRV) (Data entry and Transcript tab) and OEQS Scoring.

Note: Checklist Assistant is available only for videos recorded after the AI subscription is activated.
5. Once the trial has ended, it shows up as “Ended”.


AI Assistant Trial Ended - Request Full Access
Local LS admins receive all requests about purchase or renewal in email.
If the subscription has been purchased/extended, this is what you see as a Faculty member during data entry:

If a subscription has expired, nothing appears in the user interface.

Brief Summary
When faculty request a trial or request full (paid) access, LearningSpace sends an email notification to administrators so they can act on the request.
The free trial lasts 60 days. Around day 30, Admins get a reminder. On day 60, the trial ends, and AI features stop until you subscribe.
System managers must keep all three AI Function toggles on in System Manager → Ehli AI. If a feature is missing for users, check these toggles first.
Transcripts are created only for videos recorded while a valid trial or paid subscription was active (with Video Transcription enabled). Older videos usually have no transcript.
When AI subscription is unavailable
Transcript Tab
The Transcript tab in SRV remains visible even when AI features are disabled, using a blurred preview to indicate where transcript functionality would appear, without generating transcripts in the background.
“EHLI- AI ASSISTANT TRIAL AVAILABLE” script is visible, and trial can be initiated with the Start AI Assistant Trial button.

Checklist Pages
For users with the relevant privileges (Faculty / OEQS evaluator), an info box appears at the top of the checklist when the AI Assistant is unavailable.
“EHLI - AI ASSISTANT TRIAL ENDED - AI analyzes the transcript and highlights likely answers to speed up scoring. Request full access.”
