What should be included in the Pre-Event Part of the SCE Scheduling

IMPORTANT: In the Add Preparation Material pop-up, all parts available to be sent out are listed without distinction according to users. Therefore, the author of the SCE preparing the SCE Scheduling should use discretion when deciding which part of the SCE would be sent out to which participants.

NOTE: When scheduling an SCE in the Calendar module, the specific participants (learners, facilitators, operations specialists, faculty) are assigned.

Learner Preparation

Tick the checkbox for having different SCE-related material sent to the learners assigned to the SCE (via scheduling in the Calendar):

  1. The parts of the SCE to be included can be specified in the Add Preparation Material pop-up, which opens when you click the +Add material button.

  2. The subject and content of the email can be phrased in the Email Properties pop-up, which opens when you click the envelope icon.

  3. In the Timing column, set how many days/ minutes the email should go out before the event.

Facilitator Preparation

Tick the checkbox for having different SCE-related material sent to the Facilitator assigned to the SCE (via scheduling in the Calendar):

  1. The parts of the SCE to be included can be specified in the Add Preparation Material pop-up, which opens when you click the +Add material button.

  2. The subject and content of the email can be phrased in the Email Properties pop-up, which opens when you click the envelope icon.

  3. In the Timing column, set how many days/ minutes the email should go out before the event.

Operations Specialist Preparation

Tick the checkbox for having different SCE-related material sent to the Operations Specialists assigned to the SCE (via scheduling in the Calendar):

  1. The parts of the SCE to be included can be specified in the Add Preparation Material pop-up, which opens when you click the +Add material button.

  2. The subject and content of the email can be phrased in the Email Properties pop-up, which opens when you click the envelope icon.

  3. In the Timing column, set how many days/ minutes the email should go out before the event.

Pre-Sim Checklist

Tick the checkbox to display the Pre-Sim Checklist for the learners preceding the Simulation Event.

NOTE: If the Pre-Sim Checklist in the Checklist part of the SCE Design does not contain any section, i.e., question, the Pre-Sim option of this part of the scheduling will be disabled.

IMPORTANT: If this option is ticked, the Pre-Sim Checklist will be available to the learners at the time specified in the Timing column. That is, if the timing is specified in days, the checklist will be available for days before the event; if it is specified in minutes, it will only be available for as long as many minutes are set before the start of the event.

Concrete example:

The simulation event is scheduled (in the Calendar module) for 2 pm on Aug. 23rd:

  1. if the Timing is set to 6 days, the learners will be able to fill out the checklist from 2 pm on Aug. 17th through 2 pm on the 23rd

  2. if the Timing is set to 30 minutes, the learners will be able to fill out the checklist from 1:30 to 2 pm on Aug. 23rd
