# Privileges

**Privileges fall into three main categories:**
* **Faculty**
* **SP**
* **Learner**
Learner and SP privileges belong in the learner and SP categories, respectively. *All the other privileges, neither learner nor SP, are categorized as Faculty.*
User groups are also categorized into these three categories.
The category of a user group is determined by the most common type of privilege in the group:
**Faculty:** Most group members have faculty privileges.
**SP:** Most group members have SP privileges.
**Learner:** Most group members have the Learner privilege.

| **Admin** | Access to every feature without any restrictions.
Only **Admin** (or [**Report reviewer (full control)**](/doc/privileges-wnjrx8qPWS)) privilege users can add [**titles**](/doc/assigning-activity-case-and-adding-learners-to-recordings-Fn1JvEqPRg) to **recordings.** |
| **System Manager** | Access is limited to the **System** module, including all the tabs and settings. |
| **Room Manager** | Has access only to the **Rooms** tab of the **System Management** module through **Classic view.** A Room manager can add and delete rooms and existing stations and add equipment (camera, simulator) to rooms. |
| **GO ShutDown** | This is only relevant for LearningSpace GO units, where the user with this privilege can shut down the GO unit by entering their password on the ls/shutdown.html page. |
| **Inventory Manager** | Access to certain tools of the **Inventory** module (**Catalog, Transactions**). (See details further below and [here](/doc/privileges-user-access-details-CfHN1bm5hK)) |

| **Learner** | Access to Learner Data Entry, Learner Date Request tools, and Reports for all Activities shared with the user. (Report access settings are located at the **Reports** tab of each Activity.) **(Standardized Patient)** | Access to **SP Data Entry** and **SP Date Availability** tool for Activities the user is assigned to as an SP. Review **Activity-related** **recordings** assigned to them (video review can be enabled in [**General**](/doc/general-system-information-6jNQRhhNd8) in [**System**](/doc/system-manager-ar9EDnlVcL)).Optional: access to **SP Training Data Entry**. |

| **Record Manager** | Without being added to the faculty group of any of the Activities, this user can *- search for and view* every learner's [**performance matrix scores**](/doc/performance-matrix-bHVe6HB7Nz), *- search for and view* **video recordings** across every Activity the learners have participated in, - can **filter down** the selected learner's performance recordings by Activities or Cases, - can also **save video recordings** to DVD, and can also **delete** them. This privilege does **NOT** allow users to use the **Record Transfer** feature of the [**Record Manager**](/doc/record-manager-B67mR8lb11) module - it is only available for Admin-level users. |
| **Video Control** | \- Access to **Live View**—including the [**Record Control**](/doc/record-control-in-center-overview-TNa5isLZEX) and [**Annotation**](/doc/annotations-tab-Wpt0utzDx5) panels—of Activities shared with the user; - can **start and stop recordings**, - can **add learner(s) and SP(s)** to the recordings, - can *create, edit, or delete* annotations.Besides **rooms assigned to Activities they participate in**, this privilege also grants users access to all idle rooms, i.e., **rooms with no RNSA** or scheduled session (scheduled in Advanced Scheduling only, not via Calendar).
- If a VC privileged user is part of the Faculty group [assigned](https://kb.learningspace.elevatehealth.net/s/ent-hs/doc/participants-tab-s7Xyhg8PtB#h-faculty-and-staff-group "https://kb.learningspace.elevatehealth.net/s/ent-hs/doc/participants-tab-s7Xyhg8PtB#h-faculty-and-staff-group") to a [Flexi event’s](https://kb.learningspace.elevatehealth.net/s/0e31645b-b6d2-4b9b-b273-caba55458927 "https://kb.learningspace.elevatehealth.net/s/0e31645b-b6d2-4b9b-b273-caba55458927") Activity, the given Flexi event will be displayed on [LAC](https://kb.learningspace.elevatehealth.net/s/ent-hs/doc/live-activity-control-lac_new-mMWdIw5a7d "https://kb.learningspace.elevatehealth.net/s/ent-hs/doc/live-activity-control-lac_new-mMWdIw5a7d") for this user. |
| **Video Control (full control)** | Has the same scope of access as the Video Control privilege, but **unlimited:** it **can access all rooms** for recording in the LearningSpace system, without limitations.
The Video Control Full Control role has the same privileges in the [Live Activity Control (LAC) module](https://kb.learningspace.elevatehealth.net/s/ent-hs/doc/live-activity-control-GI0f3EyKib) as the Admin user. If there is a [Flexi event](https://kb.learningspace.elevatehealth.net/s/0e31645b-b6d2-4b9b-b273-caba55458927) that can be listed on LAC, *Video Control (full control)* privileged users can enter LAC and control the event the same way the Admin user can. |
| **Live Video** | Can view live recordings of rooms assigned to **Activities in which this user is a participant**. Besides rooms assigned to Activities they are participants of, this privilege also gives users access to all idle rooms, i.e., rooms **with no RNSA or scheduled session assigned** (scheduled in [**Advanced scheduling **](/doc/advanced-scheduling-6uw4GlWcNY)only, not via **Calendar**). |
| **Intercom** | Access to **live video** in the [**Recording **](/doc/recording-module-TQ1YnPoHOI)module for all Activities shared with the user; can [**send Intercom announcements**](/doc/three-way-intercom-BdGYfQiD1c). Besides rooms assigned to Activities they are participants of, this privilege also gives users access to all idle rooms, i.e., to rooms with no RNSA or scheduled session assigned (scheduled in Advanced scheduling only, not via Calendar). |
| | **==Learning Management privileges==** |

| **SRP** | SRP stands for ***Scheduling and Resource Planner***. This privilege provides access to the [**Calendar**](/doc/calendar-module-xtpJ2cbfqf)**,** [**SP Manager**](/doc/standardized-patient-administration-spa-module-Ct144bz7D3)**,** and [**Resources **](/doc/resources-tab-PsyrK9PoZD)modules on the dashboard and to [**Scheduling**](/doc/advanced-scheduling-6uw4GlWcNY) in **Classic view**.* In **Resources**, the SRP user can view **resource usage reports** and **video recordings** of Activities they are assigned to as a faculty member.
Additionally, they can review any usage and recordings unrelated **to any Activity** (e.g., meetings or presentations).
* In the **Calendar** module, users can [**create events**]() for the Activities they have access to and **view, but not edit, events** of other Activities.
However, they can **edit events** unrelated **to any Activity** (e.g., meetings or presentations).
* Events created by the SRP user must be **approved** by a user with admin or SRP full control privileges.
* In **Advanced Scheduling,** users can schedule events they have created or events created for Activities to which they have access as faculty.See also [How to Share Activities with Activity Managers and SRP Users](/doc/how-to-share-activities-with-activity-managers-and-srp-users-YvWgi4WqxA).* SRP privilege users **can’t create or edit** [**Flexi events**](https://kb.learningspace.elevatehealth.net/s/0e31645b-b6d2-4b9b-b273-caba55458927) (only normal events). |
| **SRP (full control)** | The privilege provides unlimited access to the Resources and Calendar. The SRP full control user can also **approve pending events** in the calendar. In **Advanced Scheduling,** users can access and **edit their schedule for every event**.**Only SRP Full Control (and admin) privilege users** can create and edit [Flexi events](https://kb.learningspace.elevatehealth.net/s/0e31645b-b6d2-4b9b-b273-caba55458927), and only they can see and use the ’Encounter Template' dropdown and ‘Encounter Template Settings’ in the Edit Event pop-up. |
| **Activity Manager** | Has access to all functions in the **Activities** module of Activities [**shared**](/doc/how-to-share-activities-with-activity-managers-and-srp-users-YvWgi4WqxA) with the user. |
| **Case Author (full control)** | Has access to [**Cases**](/doc/case-manager-QdAIr4bLwJ) and can **edit Cases** shared with them for *reading and writing*.The user can also **modify the content** of a Case, even if it is used in an Activity and contains submitted checklists. |
| **Case Author** | Has access to **Cases** and can **edit Cases** shared with them for *reading and writing*.
However, once a **Case is added to an Activity** and has **submitted checklists**, the Case Author cannot **edit** that Case anymore. |
| | **==Data Entry privileges==** |

| **Open-Ended Question Scoring Data Entry** | Access to [**score Open-ended questions**](/doc/open-ended-question-scoring-oeqs-F51zi8XITN) of the Activities **shared** with them via the Open-Ended Question Scoring (OEQS) tool.
(Access to learners is controlled in [**Assignments**](/doc/assignments-tab-6wVg4cYdGO) at each Activity.) |
| **FON Data Entry** | Access to **fill out the** [**FON part**](/doc/faculty-observation-and-narrative-fon-part-W1PTD2tkVD) of the Activities they are assigned to as Faculty. At the same time, the FON user can also **watch live or recorded encounters** in [**Live View**](/doc/recording-module-TQ1YnPoHOI) or [**Video Review**]() mode. (Access to learners is controlled in **Assignments** at each Activity.)This privilege gives users access to watch live or recorded encounters **in all rooms assigned to Activities they are participants of, in all idle rooms, i.e., rooms with no RNSA or scheduled session assigned (scheduled in Advanced scheduling only, not via Calendar).** |
| **Observer** | Access to **fill out the** [**SP Performance Assessment**](/doc/sp-performance-assessment-checklist-p2zEvUDUil) parts (parts of the SP section created for observers and, if any, specific SPPA sections) of the Activities shared with the user.
(Access is controlled via [**settings**](/doc/sp-performance-assessment-observation-requirements-of-an-activity-mQDAeoH5Ms) on the [**Activity Reporting Setup**](/doc/activity-reporting-setup-mIabTibem4) page.) |

| **User Manager** | Access to [**user accounts**](/doc/groups-and-users-qnJHoHPN6y) that belong to a group [**shared for editing**](/doc/editing-groups-T4u7Vgv1PH) with this user or shared with all users can**- create,** **- modify,** or **- delete groups** and **users**.User Managers **cannot create** *Admin, System Manager, Room Manager,* and *Learner History/SP Activity* privilege users. |

| **Report Reviewer** | \- Has access to the [**Reports**](/doc/reports-module-uUgyfqmowU) and **Video Review** modules on the dashboard and [**Reports & Results**](/doc/classic-reports-c3dB1w1aSS) in **Classic View**. - The user can **only access** t**he video recordings** and **view the reports** of the Activities they are assigned to as a **faculty membe**r.**- Access to report types** can be controlled at the [**Reports tab**](https://report reviewer) of an Activity in [**Activities**](/doc/activity-manager-8Z2fsIu6LP); therefore, certain report types **can be hidden** from this user. |
| **Report Reviewer (full control)** | \- Has access to the **Reports** and **Video Review** modules on the dashboard and **Reports & Results** in **Classic View**. - The full control version, such as the Report Reviewer, **only has access to the video recordings** and **reports** of the Activities they are assigned to as a **faculty member**.- However, the user is enabled to **edit the** [**Activity Reporting Setup **](/doc/activity-reporting-setup-mIabTibem4)in **Classic View** in **Reports & Results**. **- Report type limitations** made in **Activities** at an Activity **do not apply** to the full control user. They can **generate any report**. - Also, this user type can **control conditions of** [**report access**](/doc/reports-tab-UYc4w4MW5i) for Activities [**shared **](/doc/share-tab-EQBcJdAhW9)with them on a ***read-and-write ***level, while participating in the assigned Faculty group.
(Through *'Go to Activity Manager'* of the [**Report Availability**](/doc/activity-reporting-setup-mIabTibem4) tab within Activity Reporting Setup.) - Has access to [**hidden records **](/doc/hiding-in-learningspace-19NYis6f0R)within [**Individual checklists**](/doc/individual-checklist-EflhqaNzVC). - Can add [**titles**](/doc/assigning-activity-case-and-adding-learners-to-recordings-Fn1JvEqPRg) to **recordings** they are assigned to. |
| **Anonymous Report Reviewer** | Has access to the **Reports** module on the dashboard and **Reports & Results** in **Classic View**. By default, ID numbers are displayed instead of usernames on the reports for this user. In **Reports & Results**, only *Group Performance, Individual Performance, and Digital Video* are available.
Access to report types can be controlled at the **Reports tab** of an Activity in **Activities**; therefore, certain report types **can be hidden** from this user. |
| **Learner History / SP Activity** | Has access to students' [**history**]() and the [**SP Activity **]()panel for SPs. Unlike Report Reviewer users, this user is **not related to Activities, but to user groups**. To have access to specific users' history or SP Activity, the **group** of these users has to be **shared** with the Learner History / SP Activity as 'Read and Write.' |

| **Inventory Manager (full control)** | With the **Inventory Manager (full control)** privilege, users can- Access the **Inventory** module on the **Dashboard** - access every tab in the **Inventory** module - create new items, cabinets, and locations in the [**Catalog**](/doc/catalog-gk6IwlP6Bi) tab - manage and assign [**Transactions**](https://help.caelearningspace.com/cf/display/EntHS/Transactions?src=contextnavpagetreemode)- Prepare [**Equipment and Supply Lists**](https://help.caelearningspace.com/cf/display/EntHS/Equipment+and+Supply+Lists?src=contextnavpagetreemode) for Cases**- check out** the contents of [**Setup Sheets **](https://help.caelearningspace.com/cf/display/EntHS/Setup+Sheets?src=contextnavpagetreemode)for events and **print** them;- generate and export [**Reports** ](https://help.caelearningspace.com/cf/pages/createpage.action?spaceKey=IT&title=Reports)to document supply and equipment usage- assemble the list of disposed of or lost items ([**Reconciliation**](https://help.caelearningspace.com/cf/display/EntHS/Reconciliation+2021?src=contextnavpagetreemode))- compare the current status of the Inventory with the equipment and supply needs of particular events;- receive **low-stock notifications.**This privilege has a matching role that you can find in the **Roles** tab in **Users** (see image further below) |
| **Inventory Manager** | The basic **Inventory Manager** privilege grants only the necessary permissions to simulation lab technologists or assistants inside the **Inventory** module. With the **Inventory Manager** privilege, users can- access the **Cart** and transactions through the **Catalog** and **Transactions** tab,- perform check-ins and check-outs (like [**Transaction assignees**](/doc/privileges-user-access-details-CfHN1bm5hK)), - access every part of the **Inventory** module in **read-only mode.** |

| | **==SPA-related privileges==** |
|-----|------------------------|
| **SP Coordinator** | SP Coordinators can:* **Review, approve, or decline SP applications** submitted via the SPA Mobile Application. Upon approval by the SP Coordinator, the system automatically creates the SP’s user account.
* **View and manage enrolled SP details**, with the ability (if combined with User Manager/Admin privileges) to modify SP information in the User Manager module.
* **Recruit SPs for Sessions and Cases** by filtering candidates based on case requirements, sending participation requests, and tracking recruitment statuses.
* **Confirm SPs for scheduled Sessions** after reviewing their availability and finalize their participation in specific Cases.
* **Communicate with SPs individually or in groups** using the built-in chat and group chat functions within the SPA module and Cast sheets. |
