# 🧑‍🎓 Inactive Learners

**Learner**-type users of LearningSpace - just like any other users - can be made **‘Inactive’** in the [User Manager](/doc/user-manager-jY5BSEdZwv) if their status at the institution is no longer active. (Students might withdraw after a semester or drop out after their first year, etc.)

When **deactivated**,

* the Learners’ names do not appear in the list of available learners in the [Recording](/doc/recording-module-TQ1YnPoHOI) module;
* these Learners cannot be evaluated (only through Classic FON data entry)
* these Learners cannot log into the LearningSpace system.

The easiest way to make users in a specific group inactive is through the [**Batch User Create**](/doc/batch-user-create-KqZQGjRkyv) tool.

For more information, see [How to Edit or Delete Multiple Users](/doc/how-to-edit-or-delete-multiple-users-X4xyZCMoyy).

:::

If those students were evaluated using a Case/checklist, it’s not always desirable to delete them. As we know, [**deleting**](https://kb.learningspace.elevatehealth.net/doc-user-pop-up-p53l4RpOgR/edit#h-deleting-users) **them will affect the group score, standard deviation, etc.**, for any Activities they have data for—which is not always desirable.

Since [group scores](/doc/group-performance-reports-xvPbQk7zG7) are [calculated](/doc/score-calculation-quLUeBoHke) based on the number of submissions (not the number of learners in a group), it’s **not necessary to remove the inactive learners from the group** moving forward unless you want to.

:::

Some LearningSpace users make the **withdrawn learner inactive** and then **(re) create the cohort group every time** a learner withdraws, drops out, etc., to contain only continuing students. This gets cumbersome after a while and requires additional labor, which can be a challenge when there are not many support staff (sim techs, etc.).

* However, **the inactive learner’s name will still show up in reports.**

:::tip
  ***RECOMMENDED SOLUTION:*** It is **useful to add a visible indicator** to the learner’s account (eg. **LOA** (leave of absence or “withdrawn” ) for distinction.

  :::

  Additionally, the user **group** to which these users belong can be [hidden](/doc/hiding-in-learningspace-19NYis6f0R) so that it is not listed on the user interface.

  See [Hiding in LearningSpace](/doc/hiding-in-learningspace-19NYis6f0R).

  ***WARNING:*** Please note that in the current version of LearningSpace
  * Inactive Learners are still available for scheduling and can be scheduled;

  * [**Scheduling emails **](/doc/how-to-assign-learners-to-scheduled-events-1prezwooBD)(such as *Date Request* or *Confirmation*) go to the inactive learners as well;
  * [**Activity emails**](/doc/emails-tab-woqXxbUw5h) are sent to the inactive learners, too.
